We have received most of the invoices for our Katrina repairs. Since only a small portion of these expenses will be covered by our insurance policy, the Board of Directors has voted to assess the membership $4333.06 per unit for the one bedroom units and $6241.10 per unit for the two bedroom units.

Our building didn’t fare well during the storm. This resulted in some damage to our outside walls and first floor area and a few of the units had some major water damage to the interiors from wind driven rain. The following is a summary of our Katrina expenses:

  1. A complete up to date list of owners is critical
  2. Not having a complete list took about 30 days to finalize and much of the information was not uniformly provided. People who were added later did not hear all the things that the ones who were known early on.
  3. Need names, phone numbers, and emails for everyone in order to contact people about damage and emergency actions related to their units.
  4. The hardest problem was finding new owners. New owners are not identified to the building manager and only after a time to the account firm. Need to find a way to capture new owners into the association quickly.
  5. Recommend weekly teleconferences between the board to discuss actions
  6. Recommend weekly status reports to owners
  7. Recommend a website or bulletin board be established so any owner, at any time, can post questions and see responses to questions asked by others. Weekly status reports should be post to the same location.
  8. Performing a quick estimate of the damages and determining which are not covered by insurance is critical to implementing an assessment. The assessment allows the association to establish a fund to start paying for early bills while waiting on the insurance companies to settle and make their payments. Helps with cash flow. Budgeting an emergency fund for damages is very difficult because of the uncertainty of what insurance will cover. Being a small complex, we do not swing much weight or influence with contractors.
  9. The association insurance policies are confusing but need to be well understood by the board and building manager to ensure coverage is appropriate. Also understanding will improve awareness of what damages would be covered during emergencies.
  10. Also owners need to get registered with the city of Gulf Shores and get stickers for access to property.

Issue with Association dues and assessment for 2006

The dues should have changed in January and you just received another bill with the amount the same as 2005. We are working to correct this issue.

Also expect to see the Special Assessment within the next couple of weeks

Complex areas still needing work:

  1. Parking lot - Curbing issues -still no date
  2. Pool Decking - finish behind pool house - should be finished this week
  3. Fencing between pool and parking lot - completed
  4. Complex sign -sent Shawn Hurst codes for graphic design -waiting on feedback
  5. Landscaping - completed
  6. Bar-Q grill - as soon as the decking is finished- we have the grilles
  7. Pool heater- still no status
  8. Label parking spots- still no status
  9. Rekey Doors -still no status
  10. Paint floor on each level - delayed till later in the year
Individual Units:
  • 101 Room 101 -Issue with bifold door, middle room carpet, cabinents, and sliding door drywall.

Future Issues:
  1. Dunes in front of complex and sand in pool---checking into planting sea oats in front of pool
  2. Boardwalk is even with beach
  3. Vent hallways for dryer heat
  4. Venting lobby to help heat in elevator
  5. How to keep complex cleaner and more secure
  6. Create a list of items we would like cleaned daily and weekly and monthly for complex cleaning crew -john will be delivering for review
  7. Ballots delivered prior to association meeting
  8. Speak with Engineer about building damages
  9. Clean-up day is April 29th Sat.

East Stairwell:

  • 5th floor sign missing
  • light switch needs to be installed (this work appears to be underway)

West Stairwell:

  • 7th floor sign missing
  • water pressure tank needs paint
  • hand rail to stairs needs repair on level “P”
  • light switch needs to be installed (this work appears to be underway)
  • floor needs power washing (mold at lower levels)

8th Floor:

  • west fire door latch doesn’t operate properly
  • standpipe access door sign needs replacement


7th Floor:

  • latch to a/c unit access gate is missing
  • walls banged up (worse than other floors). Need minor repair and paint.


1st floor:

  • a/c unit access gates need paint


“Parking” Level:

  • caulk on ceiling where old wall was needs to be scraped off
  • light fixture needs paint
  • exit light at east stairwell is missing (this work appears to be underway)
  • cover plate needs to be installed on junction box in pool pump room
  • concrete behind bath house needs repair/replacement
  • paint ceiling


Elevator:

  • kick plate needs paint
  • plastic ceiling panels need replacement
  • “Don’t Feed Seagulls” sign needs replacement

Overall:

  • All the hardware and hinges on the fire doors are rusted out.
  • Clean all floors ceiling to floor
